TallyDoc - Privacy Policy

TallyDoc.com and the TallyDoc application (the “Service”) are operated by Jaxen Commerce, LLC, doing business as Jax Software Systems (“Company,” “we,” or “us”). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using the Service, you agree to the collection and use of information as described in this policy.

Information We Collect

We collect the following categories of information:

• Account information — name, email address, password, and billing address you provide when you register for or use the Service.
• Payment information — your subscription payments to TallyDoc are processed by Stripe. We do not collect or store your full card number; Stripe collects this information directly and shares only limited billing details (such as transaction status) with us.
• Invoice and estimate content — the customers, line items, amounts, and other document content you create within TallyDoc, which we store so you can access, edit, and manage your own documents.
• Connected payment account data — if you connect your own payment provider account (Stripe, PayPal, Square, or QuickBooks Online) so your customers can pay your invoices, described in detail below.
• AI assistant interactions — if you use TallyDoc’s in-app AI assistant, the messages you send and the related account or document context needed to answer them are processed to generate responses, using a third-party AI provider.
• Usage and analytics data — on our marketing website (TallyDoc.com) we use Google Analytics and Google Tag Manager, which use cookies and similar technologies to collect information such as your IP address, browser type, device information, and pages visited. We do not use these analytics tools or any advertising trackers within the TallyDoc application itself.
• Communications — information you send us when you contact info@jaxsoftwaresystems.com for support or other inquiries.

Connected Payment Accounts

TallyDoc lets you connect your own payment provider account — Stripe, PayPal, Square, or QuickBooks Online — so that your customers can pay the invoices you send. You authorize each connection through the provider’s OAuth flow. In general:

• TallyDoc uses the connection to create a payment session or invoice with the provider and to read its status so we can detect when your customer has paid.
• TallyDoc does not store copies of the customer, invoice, or payment records held in your connected provider account on its own servers.
• TallyDoc stores only the encrypted OAuth access and refresh tokens for the connection and the identifiers needed to match a provider’s payment notification back to the corresponding invoice in TallyDoc.
• Your customers’ card, bank, and other payment details are collected and processed directly by the connected provider. TallyDoc does not collect or store full payment card numbers.
• You may disconnect any connected provider at any time from within TallyDoc, and from the provider’s own account settings. Disconnecting does not delete records already created in that provider’s system, which remain under your control as that account’s owner.

QuickBooks Online. If you connect QuickBooks Online, TallyDoc accesses your QuickBooks company through Intuit’s Accounting API via OAuth to create a customer, service item, and invoice in your connected company, and to read invoice status in order to detect when a payment has been made. Consistent with the above, TallyDoc stores only your encrypted OAuth tokens, your QuickBooks company ID (realmId), and the ID of the invoice TallyDoc created — used solely to reconcile payment notifications from QuickBooks back to the corresponding invoice in TallyDoc. You may revoke TallyDoc’s access to your QuickBooks company at any time from your Intuit account settings or from within TallyDoc. Revoking access does not delete data already recorded in QuickBooks, which remains under your control as the QuickBooks company owner.

How We Use Information

We use the information we collect to:

• Provide, operate, and maintain the Service, including creating invoices and estimates on your behalf and, where you enable it, in your connected payment provider account.
• Provide TallyDoc’s in-app AI assistant and generate responses to your requests.
• Process subscription payments and manage your account.
• Communicate with you about your account, support requests, and Service updates.
• Monitor and analyze usage and trends to improve the Service.
• Detect, prevent, and address fraud, abuse, security, or technical issues.
• Comply with legal obligations.

How We Share Information

We do not sell your personal information. We share information only with:

• Service providers who help us operate the Service, including our payment providers (Stripe for subscription billing, and Stripe, PayPal, Square, and Intuit QuickBooks for the payment accounts you choose to connect), Google (website analytics via Google Analytics and Google Tag Manager), our cloud hosting provider, our email delivery provider, and a third-party AI provider that powers the in-app assistant. Payment providers receive data only for users who connect those accounts.
• Legal and safety purposes — where required by law, legal process, or to protect the rights, property, or safety of the Company, our users, or others.
• Business transfers — in connection with a merger, acquisition, or sale of assets, subject to the terms of this Privacy Policy.

Cookies and Tracking Technologies

Our marketing website (TallyDoc.com) uses cookies placed by Google Analytics and Google Tag Manager to understand how visitors use the site. The TallyDoc application does not use analytics or advertising cookies. You can control or disable cookies through your browser settings; disabling cookies may affect analytics collection but will not prevent you from using the Service.

Data Retention

We retain account and invoice/estimate content for as long as your account is active, or as needed to provide the Service. Tokens and identifiers for connected payment accounts (including QuickBooks) are retained until you disconnect that integration or close your account, at which point they are deleted. We may retain limited information as required to comply with legal obligations, resolve disputes, and enforce our agreements.

Data Security

We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypting OAuth tokens at rest. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your Rights and Choices

You may access, update, or delete your account information by contacting us at info@jaxsoftwaresystems.com. You may disconnect any connected payment account, including QuickBooks, at any time. Depending on your location, you may have additional rights under applicable privacy laws, including the right to request access to, correction of, or deletion of your personal information.

Children’s Privacy

The Service is not directed to individuals under 18, consistent with our Terms of Use. We do not knowingly collect personal information from children.

Third-Party Links and Services

The Service may contain links to or integrations with third-party services, including Stripe, PayPal, Square, and Intuit QuickBooks. This Privacy Policy does not apply to, and we are not responsible for, the privacy practices of those third parties. Please review their respective privacy policies.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Changes are effective immediately when posted. Your continued use of the Service after a change is posted means you accept the updated policy.
